Before You Join RepFlow

What You Should Know Before Joining RepFlow

If you're considering RepFlow, you probably want to know what you're actually paying for, how much work is involved and whether it's right for your business.

Those are fair questions.

RepFlow is designed to make certain parts of marketing easier for local service businesses, but it's important to understand what the system does and what it doesn't do.

Here's what you should know before getting started.

RepFlow Works Best When You're Already Serving Customers

RepFlow can be useful for both growing and established businesses.

However, some features provide more value when you already have customers and regular enquiries. For example, our Google review request system works by asking real customers to share their experiences.

If you've completed hundreds of jobs but haven't consistently collected reviews, there may be a good opportunity to improve that process.

If you're a brand-new business with very few customers, your review growth will naturally depend on completing more jobs. The same applies to repeat service reminders.

They're most useful when you have customers who may need your services again in the future.

You Don't Need to Be Good With Technology

You won't need to build the website, create complicated workflows or work out how to connect everything yourself.

RepFlow helps with the setup.

Depending on the services you choose, we may need information about your business, access to relevant accounts and details about how you currently manage customers.

The aim is to get the system running in a way that works with your day-to-day operations. Once it's set up, you should be able to handle most routine conversations from your phone using an app!

You'll Need to Provide Some Business Information

For a website, we'll need accurate details about your services, service areas and contact information. Existing photos, branding and examples of completed work can also be useful.

If you're using the review request system, we'll need a way to identify customers who have completed jobs. That may involve connecting compatible business software or using a simple form to enter customer details.

If you want to contact past customers, you'll need appropriate customer records. We'll discuss the practical requirements during setup.

Automation Doesn't Replace Customer Service

RepFlow can automatically acknowledge enquiries, request reviews and send reminders. But customers will still need to speak with you about quotes, job details, availability and specific concerns.

You'll need to monitor important responses and follow up when appropriate.

If someone requests a quote, an automated message is only the first step.

Your business is still responsible for turning that enquiry into a booked job.

Google Reviews Aren't Guaranteed

Our system helps you ask customers for reviews more consistently. It can't force someone to leave a review.

It also can't guarantee five-star ratings or specific Google rankings. The quality of your work and customer experience will always play an important role in the feedback you receive.

RepFlow supports the process of collecting genuine reviews. It doesn't replace the work required to earn them.

Make Sure You Understand the Package You're Choosing

RepFlow offers different services depending on what your business needs.

You might only need a website.

You might already have a website and want help collecting Google reviews.

Or you might want a more complete system that includes review requests, SMS responses and customer follow-ups.

Our marketing automation package includes the review request system, but that doesn't mean every RepFlow service is included in every package.

There may also be separate charges for SMS usage and certain setup requirements.

We recommend confirming the full cost and what's included before signing up.

Check How Customer Messaging Will Work

Automated SMS can be useful, but it needs to be set up responsibly.

Your customers should receive messages that are relevant, appropriate and permitted under applicable messaging and privacy requirements.

It's also important to make sure your customer records are accurate.

You don't want reminders going to the wrong person or follow-ups being sent after someone has opted out.

Is RepFlow Right for You?

RepFlow is worth considering if you want to improve your website, collect more customer reviews, respond to enquiries faster or automate repeat customer follow-ups.

It may not be the right fit if you're looking for a guaranteed number of leads, instant top rankings on Google or a system that closes sales without any involvement from you.

Our focus is on making the everyday marketing tasks easier to manage.
